Authors guidelines for manuscript preparation in Al-Iraqia Medical College Journal (AIMCJ)

Overview

The Al-Iraqia Medical College Journal (AIMCJ) provides clear Authors guidelines for submitting manuscripts related to clinical medicine and biomedical sciences. This fully open-access journal allows free online access to published articles, ensuring that research is available to all without any fees.

If you are contemplating submitting to this journal, we highly recommend that you review the About the Journal page to become acquainted with the section policies and to consult the Author Guidelines. It is a requirement for authors to register with the journal prior to submitting their manuscripts. For those who are already registered, you may simply log in to initiate the five-step submission process.

 Instruction to Authors

The Al-Iraqia Medical College Journal (AIMCJ) publishes scholarly articles addressing various dimensions of clinical medicine and biomedical science. This journal adheres to a fully open-access model, with unrestricted online access to its content. Consequently, all published articles are readily accessible to the public, with no associated fees for access.

 Writing Rules

  • The manuscript should be typed, single-spaced on A4 (21 cm 29.7cm) with 2.5 cm margins on all sides. Times New Roman font 12 pt should be used. The fonts used in the text as well as graphics should be restricted to Times New Roman.
  • The manuscript should be submitted to AIMCJ, through online link: https://aimcj.aliraqia.edu.iq.
  • The research must not have been previously published or subject to publication in another journal.
  • The researcher should send a written request (Copyright Agreement Form (AIMCJ) to publish the research.

 

Manuscript Structure:

  • The research titles.
    • The names of the researchers without abbreviation & academic degree obtained.
    • The Affiliation of all researchers participating in the research.
    • Correspondence Email address.
  • Abstract & Keywords, provided that the number of words in the abstract does not exceed 200-300 words.
  • Introduction
  • Materials and Methods.
  • Results: Figures and tables are presented clearly and placed in their site within the text, not at the end of the manuscript.
  • Discussion 
  • DECLARATIONS
  • o   Funding: The authors affirm that this study did not receive financial support, or they have disclosed the relevant funding source where applicable.

    o   Conflicts of Interests: The authors declare that no conflicts of interest are associated with this work.

    o   Ethics Statement: The authors confirm adherence to the ethical standards outlined in the journal’s author guidelines. Formal ethical approval for the study must be documented and provided.

    o   Author Contributions: Contributions should be specified for each author. For example: Author 1 conceptualized the study, performed data analysis, and drafted the manuscript; Author 2 contributed to data collection and analysis; Author 3 assisted with data collection and analysis; Author 4 critically revised the manuscript and contributed to data interpretation.

    o   Acknowledgments: This section should recognize sources of support, grants, disclaimers, and individuals who contributed but are not listed as authors. Funding organizations must be cited in full. Expressions of gratitude should also be extended to reviewers and editors for their constructive feedback, including comments provided on earlier drafts submitted to other journals.

Make a Submission

Manuscript Submission and Verification

During the online submission process of a manuscript, it is crucial to confirm that it has not been previously published in print or electronically and that it is not being evaluated for publication elsewhere. Furthermore, if any related materials or sources contain similar content or data and have been published before or are currently being reviewed elsewhere, it is important to include copies of those as well in the online submission.

Submission Process:

Registration and login are prerequisites for submitting manuscripts and monitoring the status of ongoing submissions. Users must register when accessing AIMCJ. online submission system for the first time, by clicking on Register. Manuscripts submitted to AIMCJ. are subject to editorial evaluation and revision by referees.

AIMCJ offers authors Web-based manuscript submission and peer review at https://aimcj.aliraqia.edu.iq/index.php/pub/user. All manuscripts must be submitted electronically via the journal’s designated online submission platform. Only registered users may initiate submissions. Prospective authors who do not yet possess login credentials must first complete the registration process. Returning users may log in directly using their existing username and password.

Submission Workflow Overview

To begin a new submission, select the “New Submission” option and proceed through the following structured steps:

Step 1: Initiating the Submission

  • Mandatory fields within the journal section are marked with an asterisk (*) and must be completed.
  • Authors must select the journal section most appropriate for the scope and content of their manuscript.
  • The submission checklist must be reviewed and confirmed by the submitting author.
  • Authors are required to acknowledge and accept the journal’s copyright policy.
  • Optional comments may be provided for the editorial team’s consideration.

Click “Save and Continue” to proceed to the next stage.

Step 2: Uploading the Manuscript

  • Select “Choose File” to locate the manuscript file on your local device.
  • Highlight the desired file and click “Open” to attach it to the submission form.

Click “Upload” to transfer the file to the journal’s server, where it will be renamed according to journal conventions.

After successful upload, click “Save and Continue.”

Step 3: Entering Metadata

  • Provide complete author details. For multi-authored submissions, use the “Add Author” function to include additional contributors.
  • Enter the manuscript title, abstract, keywords, funding agency information (if applicable), and references.

Click “Save and Continue” to advance.

Step 4: Uploading Supplementary Materials

  • Upload relevant supplementary files, including ethical approval documentation, figures, and tables.
  • Use “Choose File” to locate and select each file, then click “Open” and “Upload.”
  • Assign a title to each supplementary file and, if desired, include a brief description.

Click “Save and Continue” to finalize this step.

Step 5: Final Confirmation

  • Review all submission details and click “Finish Submission” to formally submit your manuscript.
  • An automated email confirmation will be sent to the corresponding author.
  • Submission status and editorial progress may be tracked via the “Active Submissions” section of the Author Dashboard. 

Types of Manuscript

AIMCJ publishes original articles (for the presentation of clinical medicine and bio-medical studies), and article reviews. The manuscripts are subject to peer review. Identities of peer reviewers and authors are kept confidential. Final decisions regarding manuscript publication are made by the Editor.

Original Articles

Although there is no set limit for the length of Original Articles, it is highly recommended that they be no longer than 5000 words including the abstract, excluding tables, figure legends, and references. The abstract should be no longer than 200-300 words and should contain the following headings: Background, Objectives, Methods, Results, and Conclusions.

Article Reviews

Article Reviews are subject to the same review process as the other types of manuscripts prior to being accepted for publication. Reviews must have an abstract, but there is no structured format for it. It is recommended that Reviews have a minimum length of 3000 words excluding the abstract, tables, figure legends, and references.

Manuscript Status

Authors who submit online using AIMCJ. The online submission system can keep track of the progress of their manuscript throughout the peer-review process by visiting AIMCJ. online submission page and clicking on “My Manuscript.”

Author title Page

The author title page should contain all of the following information:

(a) manuscript title, Titles should be short, specific and informative and avoid using abbreviations. 

(b) names of all authors (without initials) including highest academic degree,

(c) authors affiliations

(d) contact information for the corresponding author including the complete affiliation and email address.

When there are multiple authors with multiple affiliations, these can be referenced using superscript numbers in the order in which they appear (e.g., “1,2,3”).

Main Text

The main text of an Original Article must be prepared under the following subheadings: Introduction, Methods and Materials (Experiment), Results and Discussion, and Conclusion. Do not indent the first line. Do not include any new-page marks in the file.

The description of the case and its related results in a Case Report must appear under the subheading of “Case Report” (and not “Methods” and “Results,” as used in an Original Article).

 

Copyright Agreement Form

A submitted manuscript must not be associated with any type of research misconduct, including fabrication, falsification, or plagiarism with intent to deceive the authors. The Editor-in-Chief will reject a manuscript if research misconduct is suspected. The Copyright Agreement Form  to the Editor-in-Chief must declare everything. Research involving human subjects must comply with the principles of the Helsinki Declaration of 1975, as revised in 2000 Manuscripts describing such research must state that informed consent to participate was obtained from the subjects, when appropriate.

The cover letter should include the names and addresses (including e-mail addresses) of 2-3 reviewers who have expertise in the subject matter of the manuscript or who have published similar work. The reviewers should not be from the authors’ organization.

Authorship Criteria

Authorship designation should be reserved for individuals who have demonstrably impacted the paper. This impact can be evidenced through substantial contributions to the paper's conception, design, work, or interpretation. All those who meet this criterion should be recognized as co-authors.

The corresponding author assumes the responsibility of ensuring the accuracy of the author list. This includes verifying the inclusion of all contributing co-authors and the exclusion of any individuals who did not make significant contributions. Additionally, the corresponding author must confirm that all co-authors have reviewed and approved the final manuscript and have consented to its submission for publication.

DECLARATIONS

Funding: The authors affirm that this study did not receive financial support, or they have disclosed the relevant funding source where applicable.

Conflict of interest All authors must disclose any financial and personal relationships with other people or organizations that could inappropriately influence (bias) their work. Please complete and upload the conflict of interest and author declaration form with your manuscript.

Ethics Statement: The authors confirm adherence to the ethical standards outlined in the journal’s author guidelines. Formal ethical approval for the study must be documented and provided.

Author contributions

Each author is required to declare his or her individual contribution to the article: all authors must have materially participated in the research and\or article preparation, so roles for all authors should be described. The statement that all authors have approved the final author’s article should be true and include the article in the disclosure contributor form.

Acknowledgments: This section should recognize sources of support, grants, disclaimers, and individuals who contributed but are not listed as authors. Funding organizations must be cited in full. Expressions of gratitude should also be extended to reviewers and editors for their constructive feedback, including comments provided on earlier drafts submitted to other journals.

Citations and References

References should be in Vancouver style in the text. Authors are responsible for the accuracy of references. The format of reference should conform with that specified in AIMCJ. References with three or fewer authors should list all of them, while those with four or more authors should list only the first three, followed by “et al.”

Submission Preparation Checklist

All submissions must meet the following requirements.

  • The submission has not been previously published, nor is it before another journal for consideration (or an explanation has been provided in Comments to the Editor).
  • The submission file is in OpenOffice, Microsoft Word, or RTF document file format.
  • The text is single-spaced; uses a 12-point font; employs italics, rather than underlining (except with URL addresses); and all illustrations, figures, and tables are placed within the text at the appropriate points, rather than at the end.
  • The text adheres to the stylistic and bibliographic requirements outlined in the Author Guidelines.

The names and email addresses entered in this journal site will be used exclusively for the stated purposes of this journal and will not be made available for any other purpose or to any other party.
